Assigning a document to a work area
Assigning a document to a work area isolates the changes to that document from the original revision that remains in the Main area. It also locks the original revision from further changes until the document is released from the work area. If the work area to which it has been assigned has a workflow, the document is also subject to that workflow. A document must be in the Released state to assign it to a work area.
There are several methods for assigning documents to a work area. One may be more convenient for you to use than another under different circumstances.
To assign a document to a work area from the Main area:
- Select the document you want to assign to a work area.
- Select Assign to Work Area from the Document menu. The Work Areas dialog box appears.
- Select the work area where you want to assign the document and click Select.
Or
- Right-click the document that you want to assign to the work area and select Assign to Work Area. The Work Areas dialog box appears.
- Select the work area where you want to assign the document and click Select.
To assign a document to the current work area when the work area is open:
- Select Assign Documents to This Work Area from the Work Area menu. The Select Documents dialog box appears, showing the contents of the Main area of the vault.
- Open folders to the document, select the document, and click OK.
Or
- Enable the Explorer view inside work areas option. This view is cleared by default, so you must enable it before you can use it. For more information, see Setting appearance options.
- Select the Explorer view. The contents of the Main area of the vault are displayed from within the current work area.
- Browse to the document that you want to assign to the current work area.
- Select the document and then select Assign to Work Area on the Document menu.
Or
Right-click the document and select Assign to Work Area on the shortcut menu.
